About the company


Our client is a leading provider of flexible workspace and executive office services with over 80 locations nationwide. They are the premier provider of flexible office and shared workspace - coworking, virtual office, meeting rooms and fully furnished private offices for entrepreneurs, businesses, and professionals. They are expanding the current location in the Arboretum and are hiring a Community Manager.


Community Managers are the face and voice of the office to clients and visitors in their local communities. They hold primary responsibility for all customer service and day-to-day operations. Their number one goal is to retain existing members (customers) and add new members. They take care of the office, overhead, logistics and infrastructure so that their members can focus on growing their businesses. Their main values are hospitality, customer service, empowerment, and flexibility.


Responsibilities


Your interactions with members/customers should make them feel valued, and you see them as a positive part of our business community. They will remain here longer if they know they are appreciated and valued. One way to make them feel valued is by interacting with them, learning about them and their businesses, so you can become proactive to their needs and promptly respond to requests or inquiries.


You need a strong customer relationship orientation and desire to serve customers. In addition to friendliness, our client wants their members to view the business center as appealing, inspirational, professional, and clean. So, it's important to consistently help to keep it looking that way. Some examples might be straightening up meeting rooms after every use, wiping coffee spots/spills in the kitchen, wiping noticeable smudges off the glass and other surfaces, picking-up & disposing of debris in the office space or on the way to the office in the building, etc.


You should have good time management skills and the ability to multitask and prioritize well. Assist Owners and Business Center Manager by coordinating the sales and marketing efforts by posting on social media, giving tours to prospects, answering phone inquiries in a manner that helps move the prospect forward in the sales process.


Skills to succeed in this mission


  • General administrative tasks, Front Desk Reception, collate and prepare sales materials, and provide great customer service.
  • Participate in the sales process – telephone answering, general knowledge of offerings to answer questions reliably, provide tours of the workspace, update activities in various systems such as Hubspot CRM, etc.
  • Be a primary driver of social media presence for the location, including short posts/updates, coordinating networking events, and reviewing / ensuring participation in Franchise driven social media campaigns.
  • Responsible for mail and package management – this requires consistent attention to detail and process adherence to ensure client satisfaction. Numerous software tools are available to assist.
  • Assist members in managing meeting room and day office reservations using our proprietary digital booking system. 
  • Set up and breakdown of meeting and office space as needed. 
  • Oversight of communal café and kitchens – including coffee, consumables, overall presentation. 
  • Assist members with use of the access control system, multi-function network printer, general A/V systems in meeting rooms, and other general client administration tasks that come up day-to-day.


Workplace: In-person at office 5 days/week, 7:55 am – 5:00 pm with one hour for lunch.


Location: Austin Arboretum


Compensation: Salary + quarterly bonus potential
