About the company
Our client has been a family-owned business since 1973 located on Bee Cave and Mopac and operates commercial properties in Austin and Pflugerville. They are a small business that is primarily involved in leasing, maintaining and advertising of our owned commercial properties (an office building and a small strip center with store fronts) to about 40 tenants.

Responsibilities
As the Bookkeeper and Office Manager, accounting is the largest part of the office work including accurate bookkeeping to enter rent payments as paid, keeping track of due dates when rent payments are due and rent increases in long term tenants. Receiving bills and prompt payment with proper entry in Quick Books by category and proper filing of leases and receipts is also a key part of the role.
This person should understand:
· The quarterly Federal and State reports regarding employment info for employees (3 persons including the person in this position).
· Knowledge in closing year end books and working with their CPA in clearing any issues.
Other responsibilities include:
· Managing the bank accounts on QuickBooks Desktop.
· Track tenant rental payments monthly, remind them of upcoming rental increases. Input interest payments in the account register.
· Prepare deposits for the Bank and reconcile the bank accounts monthly. Providing Owner with bank balances 1st, 15th of month and last day of each month.
· Pay bills weekly including verification of credit card purchases by reconciling receipts from maintenance staff presented monthly. Proper filing of all bills and invoices paid weekly and monthly.
· Answering the phone and checking voicemail.
· Checking and organizing the physical mail.
· Keeping tenants up to date on property events, i.e. the parking lot will be resurfaced over the weekend, or the elevators are temporarily out of order.
Software:
- Quick Books desktop and/or Online
- Microsoft and especially Excel
Skills to succeed in this mission
Required
- Three years of payroll experience and managing Quickbooks Online or Desktop
- Having a thorough understanding of Payroll, i.e., paying tax liabilities, making monthly tax deposits, filing quarterly and annual tax reports using EFTPS and TWC websites.
- Excellent attention to details and accuracy in data entry and analysis
- Strong analytical and problem-solving skills
- Ability to prioritize tasks and meet deadlines
- Excellent communication and interpersonal skills
- Ability to provide a high level of customer service
- Ethics, integrity and ability to deal with confidential information
Desired
- Certifications appreciated.
- Having some knowledge of commercial property management.
Workplace Information:
Hours per week: 20 to 30 hours per week, 4 to 6 hours a day, Monday through Friday
Hourly rate: $25
Workplace: In-person at the office located on Bee Cave and Mopac, Monday through Friday
